2.6 Emergency Planning Maps

Task ID HS500-2.6 Action Item Emergency Planning Maps must be visibly posted in each department. An example is included in Attachment 4. 2.6.1 Maps are required to include: 2.6.1.1 Telephone number for Communications Leader (posted on or near telephones). 2.6.1.2 An explanation of the site-specific Evacuation and Shelter alarms. 2.6.1.3 Primary and Secondary evacuation routes from each department. 2.6.1.4 Primary and Secondary Evacuation Assembly Areas. 2.6.1.5 Emergency Shelter Area Locations.

2.7 Evacuation Drills

Task ID HS500-2.7 Action Item Ensure that evacuation drills are conducted annually, findings documented and communicated to all employees, using Attachment 5 as guidance. 2.7.1 Criteria: 2.7.1.1 An actual incident or false alarm that required a facility evacuation can be used in

lieu of performing a drill. 2.7.1.2 Conduct drills of events most likely to occur at location (earthquake, unexpected

severe weather, etc.).

3.0 Training

Action Item Ensure that all employees are trained according to the requirements outlined in the Training Matrix, as shown in Attachment 6. 4.0 Recordkeeping/Documentation

Task ID HS500-4.1 Action Item Ensure that recordkeeping/documentation is retained as required by the RR Donnelley Record Retention Policy. 4.1 The results (written observations) of all emergency evacuation drills and actual incidents must be retained for 2 years. 4.2 Maintain employee training files (based on company’s Record Retention Policy)

4.3 Allow employee’s access to ERP document (typically in an unlocked Safety Coordinator’s office,

unlocked Supervisor’s office, Cafeteria, etc). 4.4 Provide copies of this ERP to local emergency response agencies (Fire/Police Department) as

deemed necessary by facility management.

6.0 Definitions

Emergency: An unforeseeable event that can cause harm to people and property, including but not limited to fire, explosion, tornado, chemical release, earthquake and severe weather.

Emergency Escape Route: The routes (primary and secondary) that employees are directed to follow in the event they are required to evacuate the workplace or seek a designated assembly area.

Emergency Command Center: A designated area for the management of an emergency incident.

Emergency Notification Center: An internal phone number that is used to report emergencies. Once an incident is reported to the notification center the proper emergency agencies will be contacted.

Exit: That portion of a means of egress which is separated from all other spaces of the building or structure by construction or equipment as required to provide a protected way of travel to the exit discharge. Exit Access: That portion of a means of egress that leads to an entrance or an exit.

Exit Discharge: That portion of a means of egress between the termination of an exit and a public way.

Means of Egress: A continuous and unobstructed way of exit travel from any point in a building or structure to a public way and consists of three separate and distinct parts: the way of exit access, the exit, and the way of exit discharge.

Attachment 1 ERP Binder

This document is to serve as the actual facility Emergency Response Plan with all “set-up” type elements outlined in the main body of the corporate procedure (HS500) removed. This is the document that should be revised to include site-specific information, printed, and made available as a hard copy in the facility for quick reference in the event of an emergency situation.

This document has been designed with the following considerations:

? All tables that require site-specific information have been expanded (For ease of inserting site-specific information and for better readability).

? All procedure headers have been removed. All headers are now specific to each tab. ? The left margin has been expanded to allow for a 3-hole punch (see example below).

? Each specific procedure attachment has been separated by section so that each can be placed under a

separate tab in a 3-ring binder for easy reference (see example binder below).

? Page numbers are limited to include only the number of pages in the specified tab (Not the number of

pages of the entire document).
